Privacy Policy
Effective and last updated: 3 July 2026 (2026-07-03). This policy explains how PitchVertex Pte. Ltd. handles personal data in accordance with the Personal Data Protection Act 2012 (PDPA) of Singapore.
1. Who is responsible for your data
The data controller for personal data described in this policy is PitchVertex Pte. Ltd. (UEN 202531874E), registered at 133 Cecil Street, #18-01 Keck Seng Tower, Singapore 069535. We operate the website pitchvertex.pro and deliver marketing agency services including brand strategy, campaign planning, paid media, creative production, and analytics reporting.
For privacy-specific enquiries, data access requests, or complaints, contact our privacy team at [email protected]. General business enquiries may be directed to [email protected] or +65 6538 7150.
2. Scope of this policy
This Privacy Policy applies to personal data collected through pitchvertex.pro, email and telephone communications initiated via the site, pitch session bookings, project and retainer engagements, and related administrative processes. It does not cover third-party websites linked from our pages; those sites operate under their own privacy terms.
Where we process personal data on behalf of clients during contracted marketing services — for example, audience data in campaign platforms — we act as a data intermediary under client instruction. Separate data processing terms in engagement letters govern that processing.
3. Categories of personal data we collect
Depending on how you interact with PitchVertex, we may collect the following categories of personal data:
- Identity and contact data: name, job title, company name, email address, telephone number, postal address.
- Enquiry and correspondence data: messages submitted through contact forms, email threads, meeting notes, and pitch session records.
- Technical and usage data: IP address, browser type, device identifiers, pages viewed, referral URLs, and cookie identifiers where consent is given.
- Contract and billing data: invoicing details, purchase orders, payment references, and tax identifiers for client engagements.
- Marketing preference data: consent records, newsletter opt-ins, and communication channel preferences.
We do not intentionally collect sensitive personal data such as national identification numbers, health information, or financial account credentials through pitchvertex.pro. Please do not submit such information via our contact form.
4. How we obtain personal data
Personal data is collected directly from you when you submit forms, email us, call our office, attend meetings, or sign engagement documents. We may also receive contact details from referral partners where you have been informed that your details will be shared for a stated business purpose.
Technical data is collected automatically when you browse pitchvertex.pro, subject to your cookie preferences. See our Cookie Policy for details on analytics and marketing cookies.
5. Purposes of collection, use, and disclosure
PitchVertex collects and uses personal data for purposes that a reasonable person would consider appropriate in the circumstances, including:
- Responding to enquiries and scheduling pitch sessions at our Tanjong Pagar studio or via video.
- Scoping, delivering, and administering marketing services under contract.
- Issuing invoices, processing payments, and maintaining business records required by Singapore law.
- Improving pitchvertex.pro performance, content, and user experience through aggregated analytics.
- Sending service-related notices, project updates, and — where permitted — marketing communications about PitchVertex services.
- Protecting the security and integrity of our website, systems, and personnel.
- Complying with legal obligations, regulatory requests, and enforceable court orders.
We will not use your personal data for purposes incompatible with those described above without notifying you and, where required under PDPA, obtaining fresh consent.
6. Consent and withdrawal
Contact form submissions require explicit consent via the consent_pdpa checkbox before data is processed. Consent must be freely given and may be withdrawn at any time by emailing [email protected]. Withdrawal does not affect the lawfulness of processing based on consent before withdrawal, and may limit our ability to respond to ongoing service requests.
Non-essential cookies are placed only after you accept analytics or marketing cookies through our cookie banner or customise panel. Your choice is stored for six months, after which the banner reappears so you may review preferences.
7. Disclosure to third parties
We disclose personal data to third parties only where necessary for the purposes in Section 5, including:
- Hosting and infrastructure providers maintaining pitchvertex.pro on secured servers.
- Email delivery and calendar scheduling tools used for client communication.
- Accounting, legal, and professional advisers bound by confidentiality obligations.
- Advertising and analytics platforms (Google, Meta, LinkedIn, and similar) when you consent to relevant cookies and we run campaigns involving your data as a client.
- Subcontractors supporting creative production, media buying, or development under written confidentiality terms.
We do not sell personal data. We require processors to implement appropriate security measures and process data only on documented instructions.
8. Cross-border transfers
Some service providers may store or process data outside Singapore, including in the United States, European Union, or other APAC jurisdictions. Where personal data is transferred overseas, we take steps reasonably required under PDPA to ensure recipients provide a standard of protection comparable to Singapore law — through contractual clauses, provider certifications, or your consent where applicable.
9. Retention periods
We retain personal data only as long as necessary for the purposes collected, unless a longer period is required by law:
- Enquiry records: up to twenty-four months from last contact unless an engagement proceeds.
- Client project files: duration of contract plus seven years for financial and legal record-keeping.
- Cookie consent logs: six months, aligned with browser cookie expiry.
- Marketing suppression lists: indefinitely while you remain opted out, to honour your preference.
When retention periods expire, data is securely deleted or anonymised so it can no longer identify you.
10. Your rights under PDPA
Subject to exceptions in the PDPA, you have the right to:
- Access personal data we hold about you and information about how it has been used or disclosed in the past year.
- Correction of inaccurate or incomplete personal data.
- Withdraw consent for processing that relies on consent, recognising this may affect service delivery.
- Data portability where technically feasible and applicable to data you provided in structured electronic form.
Submit requests to [email protected]. We respond within thirty days unless an extension is permitted under PDPA. We may charge a reasonable fee for manifestly unfounded or excessive access requests. You may also lodge a complaint with the Personal Data Protection Commission (PDPC) of Singapore if you believe your rights have been infringed.
11. Security safeguards
PitchVertex implements administrative, technical, and physical measures appropriate to the sensitivity of data we hold, including access controls limited to personnel with a business need, encrypted transmission where supported, secure hosting environments, and staff training on confidentiality and PDPA obligations. No method of electronic storage is completely secure; we cannot guarantee absolute security but we review controls periodically and respond to identified vulnerabilities.
12. Cookies and similar technologies
Essential cookies operate the website and remember cookie consent choices. Analytics cookies, when accepted, help us understand page traffic and navigation patterns. Marketing cookies, when accepted, may support measurement of outreach campaigns. Full details, including how to change preferences, are in our Cookie Policy.
13. Direct marketing
We may send emails about PitchVertex services, events, or insights where you have provided contact details and not opted out. Each marketing email includes an unsubscribe mechanism. Service-related communications necessary to perform a contract — project updates, invoice notices, scheduling — are not marketing messages and may continue regardless of marketing opt-out.
14. Personal data of minors
Our services and website are directed at business professionals. We do not knowingly collect personal data from individuals under eighteen years of age. If you believe a minor has submitted data through pitchvertex.pro, contact [email protected] and we will delete it promptly.
15. Data breach response
If a data breach likely to result in significant harm occurs, PitchVertex will assess the incident, contain exposure, notify the PDPC where required, and inform affected individuals without undue delay when notification is mandated or appropriate under the circumstances.
16. Changes to this policy
We may update this Privacy Policy to reflect legal, technical, or business changes. Material updates will be posted on pitchvertex.pro with a revised last updated date. Continued use of the website after changes constitutes acknowledgement of the updated policy where permitted by law.
